Acuma Consulting Limited (“Acuma”, “we”) is the controller of the personal data described in this notice. We are registered in England & Wales under company number 09554440, with our registered office at Seymour Chambers, 92 London Road, Liverpool L3 5NW. Contact: info@acumagroup.com. This notice is provided under the UK GDPR and the Data Protection Act 2018.

1. Who this notice covers

Candidates and potential candidates, referees, people at our clients and prospective clients, and visitors to this website.

2. The data we hold

Depending on how we deal with you, we may hold:

  • Name, contact details and professional profile links.
  • Career history, CV, qualifications, current pay and expectations.
  • Notes from calls and interviews, assessments, and references.
  • Our correspondence with you, and meeting notes or recordings where we have told you a meeting is being recorded.
  • For clients: business contact details and information about the roles you are hiring for.
  • For website visitors: what you send us by email or phone, and basic technical data such as your IP address.

We don’t ask for special category data (such as health, ethnicity or religion). If you choose to share it, we only keep it where it’s relevant to a role you’re being considered for.

3. Where we get it

From you directly, and from other sources: professional networking sites such as LinkedIn, publicly available sources such as company websites and press coverage, business contact data providers, and introductions from clients, candidates and contacts. If we collect your data from someone other than you, we will give you this notice within one month, or when we first contact you if that is sooner.

4. How we use it and our lawful bases

  • Legitimate interests: finding and approaching people for roles, assessing candidates, representing them to clients, keeping in touch about future opportunities, and developing our business with companies in our market.
  • Contract: providing search services to our clients, and taking steps you ask for before entering into an agreement.
  • Consent: where we ask for it, for example to keep special category data you have volunteered. You can withdraw consent at any time.
  • Legal obligation: keeping records required for tax, accounting and regulatory purposes.

We will always discuss a specific role with you before we send your details to a client.

5. Who we share it with

  • Our clients, for roles you have agreed to be put forward for.
  • Referees you have named, to request references.
  • An affiliated company that provides search and recruitment services to Acuma under a written data processing agreement.
  • Service providers who process data for us under contract: our recruitment CRM, Microsoft 365 email and file storage, LinkedIn, business contact data providers, meeting note and transcription tools, and our website host.
  • Professional advisers such as accountants, lawyers and insurers, and authorities where the law requires it.

We do not sell personal data.

6. International transfers

Some of the people and providers above are based outside the UK. Where a country does not have UK adequacy regulations, we use the ICO’s International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, or rely on the UK Extension to the EU–US Data Privacy Framework where a US provider is certified. You can ask us for a copy of the relevant safeguard.

7. How long we keep it

We keep personal data for as long as we need it for the purposes in this notice. For candidates and clients, that is typically while we are in contact and for a reasonable period afterwards, so we can tell you about future opportunities. Some records, such as contracts and invoices, are kept for longer where the law requires it.

8. Your rights

You have the right to access your data, correct it, have it deleted, restrict or object to how we use it (including any direct marketing), and to data portability. To use any of these rights, email info@acumagroup.com. We will respond within one month. If you are unhappy with how we handle your data, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

9. Cookies

This website does not set cookies. Our fonts are served by Google Fonts, which receives your IP address so it can deliver them. If we add analytics or marketing cookies in future, we will ask for your consent first.

10. Changes

We review this notice regularly. The date at the top shows when it was last updated.
